Start with the use of the space

An outdoor project is easier to describe when you explain what is not working today. You may want a clearer walking route, a usable sitting area or a lawn and planting space that is easier to maintain. Take wide photographs from several directions and describe the areas you use most. Keep routine upkeep separate from changes to the layout. That helps the estimator understand whether you are requesting recurring care, a one-time improvement or a defined hardscape project.

Show the existing conditions

Include slopes, low spots, settled paving and areas where water collects after rain. Explain what you have observed without assuming a particular solution. A new surface should not be planned only from its color or shape. The site, intended use and material requirements need review. If you have an existing plan or product selection, share it alongside photos of the actual property. A reference image is useful for style, but it cannot establish that the same layout will suit your space.

Explain equipment and material access

Show the route from the street or driveway to the work area, including gates and narrow passages. Identify landscaping and other features you want retained. Mention buried features you know about and discuss the necessary locating arrangements before ground-disturbing work. OHIO811’s homeowner guidance notes that some private lines require separate locating. In a shared property or managed community, confirm the necessary permissions and work restrictions before dates are arranged. Access and approvals should be part of planning, not discoveries after materials arrive.

Choose a clear scope for this phase

Write the exact area to be improved and the finish you want reviewed. Include the intended use, approximate dimensions and any products already chosen. If the project is phased, explain what this stage needs to leave ready and what belongs to a later decision.

  • Location and approximate size of each area.
  • Current condition and observed water movement.
  • Features and plants to retain.
  • Material preferences and intended use.
  • Gate access, property restrictions and target timeframe.

Separate ongoing care from installation

If you also want regular upkeep, list the tasks and preferred frequency separately. A one-time hardscape or landscape improvement does not establish a recurring service schedule. Parrett can review the actual request and define the work it can take on before quoting.
