Define which spaces are included

A rental trash-out can involve more than the visible items in the living room. Walk through each area you are authorized to access and list the rooms, closets, storage areas and outside spaces included in the request. For a multi-unit building, use the unit number on every photo and note. Keep common areas separate from the unit itself. This makes it easier to compare the estimate with the work you actually need and avoids assuming that a shed or basement storage cage was included.

Separate ownership decisions from removal work

Before arranging removal, the property owner or manager needs to decide what can properly be discarded and what must remain. Do not ask the crew to guess whether a box, appliance or furnishing belongs to the property, a former occupant or someone else. Resolve any ownership or authorization questions first. Label retained items clearly and describe their location in writing. If a family member, owner or other decision-maker still needs to review the contents, arrange that review before setting the removal scope.

Make the access plan specific

A reliable access plan includes more than “the door will be open.” Name the person who can authorize entry and answer questions, and provide any building requirements through an appropriate private channel. Avoid putting access codes in public photos or documents. Tell the estimator about stairs, parking, restricted loading times and whether other occupants will be nearby.

  • Identify the unit and the exact areas to clear.
  • Confirm who will provide entry and approve questions.
  • Flag bulky items and containers separately.
  • State the date you need the cleanout completed, without assuming availability.

Agree on the handover condition

Request a written description of what will be removed and what cleanup follows. Emptying agreed contents and leaving a room broom-swept are different from deep cleaning or sanitizing it. Ask for the included finish to be clear. If you manage remotely, discuss whether completion photos would help you review the space; do not assume a reporting system is part of the job. Keep the final removal list with the estimate and tell the crew about changes before arrival. That gives everyone a practical definition of when this cleanout is complete.

Include any detached storage space by name, even when it shares the same address.
