Show the stump in its surroundings

A close-up of the cut surface is useful, but it should be paired with a wider photo. Show nearby paving, fences, buildings, planting beds and other obstacles. Include the number of stumps and their approximate width at the widest visible base. If surface roots are part of your concern, photograph them separately and identify the area you want reviewed. Do not dig around the stump or disturb buried material to get a measurement. An honest rough description is enough to start the conversation.

Measure the access route

The equipment needs a practical route to the work area. Show the gate and narrowest point, and measure the clear opening if it can be done safely. Describe steps, steep slopes, soft areas and tight turns. Mention any route that would cross a shared area or a neighbor’s property; permission needs to be arranged rather than assumed. If the stump is in a fenced backyard, a photograph of the front driveway alone does not establish that access is suitable.

Describe what you want afterward

Tell the estimator whether the goal is to remove a mowing obstacle, prepare a planting area or make room for a different use. Grinding, full root removal and restoring the surface are not identical scopes. Iowa State Extension notes that grinding leaves wood shavings and that removal and filling should be clarified separately. Ask what is included for the resulting material and the area left behind. Do not assume the final surface will be ready for every future use without additional assessment.

Flag buried features before scheduling

Identify known buried features and any private lines you are aware of. OHIO811 explains that private lines may need a separate locating arrangement. The appropriate locating and site review should be completed before ground-disturbing work; a photograph cannot establish that the area is clear.

  • Stump count and approximate base widths.
  • Wide photos and visible roots of concern.
  • Gate opening and equipment route.
  • Nearby features and known buried items.
  • Desired finish and future use of the space.

Confirm the agreed limits

Review which stumps and roots are included, what happens to the grindings and what condition the area will be left in. Those details make the estimate more meaningful than a price based only on the number of stumps.
